This privacy policy explains how Property Nexus, UAB processes personal data when you visit https://ntpaieska.lt, complete enquiry forms, register for a call or consultation, use the artificial intelligence chat assistant, contact us, or use other NT Paieška services.

2. What data we may process

Depending on how you use the website or our services, we may process the following data:

  • first and last name;
  • phone number;
  • email address;
  • the text of your enquiry;
  • property search criteria you provide;
  • budget, city, district, property type, financing method, or other information you choose to submit;
  • information about your preferred call or meeting time;
  • communication history (emails, call records, correspondence) when you contact us;
  • technical website usage data, e.g. IP address, browser type, device, visit time, page views;
  • cookie and analytics data, where such tools are deployed and we have a lawful basis;
  • content of conversations with the artificial intelligence assistant and related technical data, where such an assistant is enabled;
  • other information you voluntarily provide in forms, by email, phone, or during correspondence.

3. Purposes for which we process data

3.1. Responding to enquiries

When you complete a contact, property search, or other form, we process data so we can contact you, answer questions, assess your needs, and provide relevant information.

Legal basis: your request to take steps prior to entering into a contract, or our legitimate interest in responding to an enquiry received.

3.2. Organising calls and meetings

If you register for a call or meeting, we process contact details, your chosen time, and meeting details (remote or in person). Calendar or email integrations are used only to ensure the appointment runs smoothly.

Legal basis: your request for a consultation, or our legitimate interest in organising communication.

3.3. Providing property search and brokerage services

When we begin providing services, we process information about your needs, search criteria, financing situation, properties, negotiations, documents, and other information related to delivering the service. Data may be stored in a CRM or administration environment for operational and quality purposes.

Legal basis: performance of a contract, steps prior to entering into a contract, legal obligation, or our legitimate interest in providing the service properly.

3.4. Website operation, security, and quality

We process technical data so the website operates reliably, and is protected against misuse, errors, unlawful activity, or automated attacks.

Legal basis: our legitimate interest in ensuring website security and operation.

3.5. Analytics and website improvement

Where analytics tools are deployed (e.g. Google Analytics), we collect aggregated information about how visitors use the website. This helps us see where users get stuck and what should be improved.

Legal basis: consent (where required by law) or legitimate interest where only necessary or minimal technical data is processed without third-party tracking cookies.

3.6. Marketing

We send news, offers, or other marketing information only if you separately consent (e.g. by ticking a consent box or subscribing to a newsletter).

3.7. Artificial intelligence chat assistant

The website may use an artificial intelligence chat assistant to answer visitor questions, direct you to the right service, help complete forms, or register a call for consultation.

When you use the chat assistant, we may process:

  • the content of messages you enter during the conversation;
  • name, phone number, and email address if you provide them during the chat;
  • information about property you are looking for, selling, or interested in;
  • your preferred call or meeting time;
  • conversation history;
  • technical usage data.

OpenAI API technology may be used to operate the chat assistant. In that case, messages you enter (or parts of them) may be transmitted to OpenAI as a technical service provider to generate a response.

We do not recommend submitting excessive, highly sensitive, or unnecessary data in the chat assistant — for example personal identification numbers, bank login details, payment card data, health data, or other information not required to provide property services.

4. Who we may share data with

We share data only when necessary for the service, operation of the website or internal systems, or when required by law.

  • website hosting and infrastructure providers (e.g. Netlify or equivalent services);
  • database, CRM, or administration system providers (e.g. Supabase, where used);
  • email, calendar, or communication tool providers (e.g. Google Workspace / Gmail / Google Calendar, where used for your bookings or replies);
  • artificial intelligence technology providers, e.g. OpenAI, where the chat assistant is used to generate responses or process enquiries;
  • analytics and advertising tool providers, where such tools are actually deployed and there is a lawful basis;
  • accountants, lawyers, or other professional advisers, where necessary;
  • notaries, banks, valuers, insurers, or other parties to a transaction, where necessary for a specific service and you are aware;
  • public authorities, where required by law.

5. Third-party tools

The following or similar tools may be used on the website or in delivering services:

  • website hosting and technical infrastructure services;
  • database and administration systems;
  • email services;
  • calendar or meeting booking tools;
  • artificial intelligence chat assistant technologies, including OpenAI API;
  • analytics tools;
  • advertising and conversion measurement tools;
  • spam protection or automated enquiry prevention tools.

Specific providers (e.g. Supabase, Netlify, Google) depend on how the website and internal systems are currently configured. If we deploy monitoring or advertising tools, we enable them in line with cookie and consent rules. Each provider's privacy documentation should be reviewed separately.

6. Cookies

The website may use cookies and similar technologies. On your first visit you will often see a cookie banner — through it you can choose whether to allow non-essential cookies.

6.1. Strictly necessary cookies

Required for the website to function, security, form submission, sessions, or other core features. Without them, some functions may not work reliably.

6.2. Analytics cookies

7. How long we retain data

  • call and meeting information: approximately up to 12 months;
  • chat assistant messages and related records: approximately up to 12 months from last contact, or according to internal policy;
  • client and service delivery documents: as long as necessary to perform the contract and comply with law;
  • accounting documents: for statutory periods;
  • technical security logs: usually up to 12 months, unless longer retention is necessary to investigate an incident;
  • marketing consents: until withdrawal or as long as needed to demonstrate lawful consent.

When a retention period ends, we delete or anonymise data unless there is another lawful basis to retain it further.

8. Your rights

You have the right to access your data, request rectification, erasure, restriction of processing, object to processing on legitimate interest grounds (where applicable), receive data in a structured format, withdraw consent (where processing is based on consent), and lodge a complaint with the State Data Protection Inspectorate.

We apply reasonable organisational and technical measures to protect data against unauthorised access, loss, alteration, disclosure, or destruction. Access is limited by role — only those who need it for their work can see it.

10. Transfers outside the European Economic Area

If a service provider processes data outside the EEA, we transfer it only in compliance with GDPR requirements — for example using European Commission approved standard contractual clauses or other lawful mechanisms.

11. Children's data

Services are intended for adults entering transactions and discussing situations. We do not knowingly collect children's data without parental or guardian consent. If we become aware that information was submitted inappropriately, we will remove it.

12. Links to other websites

The website may contain links to third-party pages. We are not responsible for their privacy practices — review the relevant policy before submitting your data there.

13. Changes to this policy
